Accounting Integration
Xero and QuickBooks
CSM can push completed Repair Orders directly into Xero or QuickBooks Online as invoices. This is a Pro-plan feature. You can connect one or both providers, but only one is active at a time — a job should never be posted to two accounting systems simultaneously.
Connecting Your Accounting Software
Go to Account Settings → Integrations and choose Xero or QuickBooks. You will need to create a free developer app in your accounting software’s developer portal first. The settings page shows the exact steps and the redirect URL to copy in — it reads your live domain automatically, so just paste what it shows.
Once connected, your organization name appears on the settings page. To switch providers, connect the other one and change the Active provider for sync setting.
Pushing an Invoice
There are two places to push a Repair Order to your accounting software:
From the Billing Tab
Open any Repair Order and click the Billing tab. The accounting panel at the bottom shows the current sync status and a Push button. Use this to sync a specific job at any point during the workflow.
From the Payment Screen
After collecting payment, the checkout screen offers a one-click push to your accounting software. Most shops sync here as part of their close-out process.
When you push for the first time, CSM creates a new invoice in Xero or QuickBooks with each labor line and each parts line as separate line items, plus any discount and tax lines. The invoice number (e.g. INV-0003) is saved against the RO and shown as a clickable link directly into your accounting software.
Re-syncing After a Price Change
If you adjust the price on an RO that has already been paid and pushed, clicking Re-sync compares the new total against the last amount pushed and handles the difference automatically:
Price Was Lowered (Refund)
CSM creates a Credit Note in your accounting software for the difference and marks it as Paid. It appears immediately in the Billing tab ledger linked to the original invoice.
Price Was Raised (Additional Charge)
CSM creates a supplemental invoice for the additional amount. Both the original invoice and the supplemental invoice appear in the Billing tab, each as a clickable link into your accounting software.
The Billing Tab Ledger
The Billing tab always shows a live table of every invoice and credit note in your accounting software that is linked to this Repair Order. This means you can see all activity for the job at a glance — the original invoice, any credit notes, and any supplemental invoices — without leaving CSM. The list refreshes every time you open the tab.
