What Is Procurement?
The Procurement module is your parts-sourcing hub. It connects to wholesale vendors — Worldpac, O'Reilly Auto Parts, and LKQ — and lets you search all of them at once from a single page. Results are normalized and sorted by price so you can compare and decide without switching between browser tabs or making phone calls.
Go to Procurement in the main sidebar to access the dashboard, parts search, and settings.
Connecting Vendors
Before you can search, connect your wholesale accounts. Go to Account Settings → Integrations and find the Procurement section. Enter your account credentials for each vendor — API keys or dealer account numbers depending on the vendor. Once connected, a vendor is automatically included in every Parts Search.
You can connect one vendor, two, or all three. The search always queries every connected vendor and merges results.
Parts Search
Go to Procurement → Parts Search. Choose a search mode using the tabs at the top, then submit to see results from all connected vendors sorted by price.
Free Text
Type a part number, brand name, or description and search directly. This is the baseline mode — use it any time you already know what you are looking for.
From Inventory
Browse or search your shop's inventory catalog. Clicking an item pre-fills the search query with its part number or name. If the item is vehicle-specific, the make and model are appended automatically so results are filtered to parts that fit that vehicle. Use this for reorder runs — spot a low-stock item and look it up across vendors in one step.
From Repair Order
Browse your open ROs. Clicking one pre-fills the search query with that vehicle's year, make, and model — for example, 2019 Toyota Camry. Use this when a technician is working a specific vehicle and needs to find a compatible part fast.
From Vehicle
Use cascading Year → Make → Model dropdowns. Year is selected first, which automatically filters the Make list to only brands that existed in that year. The Make list only shows the makes on your shop's active vehicle list — keeping it focused on the brands you actually service. Model is optional; leaving it blank searches by year and make only.
Vehicle Make List
The NHTSA vehicle database contains thousands of makes — cars, trucks, motorcycles, trailers, and specialty vehicles. The Vehicle Make List narrows this down to the brands your shop actually works on so the "From Vehicle" cascade stays clean and fast.
Go to Account Settings → Vehicle Makes. About 45 common US automobile and motorcycle makes are pre-loaded on your first visit. Toggle any make on or off — active makes appear in the cascade, inactive ones stay on the list for easy re-activation later. To add a make not already on the list, search the full NHTSA catalog at the bottom of the page.
Dashboard
The Procurement → Overview page shows how many vendors are connected, how many searches you ran today, and how many searches you have run this month. Below those card--tiles, a vendor status list shows each vendor's connection state and any recent error. A recent search history table lists your last 10 queries — click any row to re-run that search instantly.
Parts Groups
Parts Groups let you bundle multiple parts to a specific labor preset. For example, an "Oil Service" group contains an oil filter and motor oil. When that labor preset is added to a Repair Order, CSM prompts you to add all parts in the group with one click. This removes the need to remember and re-add the same parts for routine jobs every time.
Manage Parts Groups from Inventory → Parts Groups. Parts are drawn from your shop's inventory catalog. When a part from a group is added to an RO through the auto-suggest prompt, it is linked to your inventory stock and participates in real stock allocation.
