This Privacy Policy describes how Complete Shop Manager LLC (“Company,” “we,” “us,” or “our”) collects, uses, and shares information when you access or use the Complete Shop Manager platform and related applications (collectively, the “Service”). By using the Service, you agree to the practices described in this Privacy Policy.

1. Information We Collect

Information You Provide

Account registration details (name, business name, email address, phone number, billing address)
Payment information (processed by our third-party payment processor; we do not store full card numbers)
Shop configuration data (labor rates, inventory, service presets, employees, roles)
Customer and vehicle records entered into the Service
Repair orders, inspection reports, and related service data
Communications you send to us (support requests, feedback)

Information Collected Automatically

Log data (IP address, browser type, pages visited, timestamps)
Device information (device type, operating system)
Usage data (features accessed, actions taken within the Service)
Cookies and similar tracking technologies (see Section 8)

Information from Third Parties

Payment processors may share transaction status and billing information with us
If you connect third-party integrations (e.g., parts suppliers), we may receive data from those services as described at the time of connection

2. How We Use Your Information

We use the information we collect to:

Provide, operate, and maintain the Service
Process transactions and manage your subscription
Create and manage your account and shop workspace
Send transactional communications (receipts, password resets, account alerts)
Respond to support requests and feedback
Monitor and analyze usage to improve the Service
Detect, investigate, and prevent fraudulent or unauthorized activity
Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information. We may share information in the following limited circumstances:

Service Providers: We share information with trusted third-party vendors who assist in operating the Service (hosting, payment processing, email delivery, analytics). These providers are contractually obligated to protect your data and use it only for the purposes we specify.
Legal Requirements: We may disclose information if required by law, subpoena, court order, or other legal process, or when we believe disclosure is necessary to protect rights, property, or safety.
Business Transfers: If the Company is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.
With Your Consent: We may share information for any other purpose with your explicit consent.

4. Multi-Tenant Data Isolation

The Service operates as a multi-tenant platform. Each shop account’s data is logically isolated from other shop accounts. We do not share one shop’s customer, vehicle, or repair order data with any other shop or third party.

5. Data Retention

We retain your account and business data for as long as your subscription is active. If your account is terminated or cancelled, we will make your data available for export for thirty (30) days. After that period, your data will be permanently deleted from our systems, except where retention is required by law.

Anonymized or aggregated usage data that cannot identify you may be retained indefinitely for analytics and service improvement purposes.

6. Security

We implement commercially reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission (HTTPS), access controls, and regular security monitoring.

No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your login credentials.

7. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including:

Access: Request a copy of the personal information we hold about you.
Correction: Request that we correct inaccurate or incomplete information.
Deletion: Request deletion of your personal information, subject to legal retention requirements.
Portability: Request an export of your data in a machine-readable format.
Opt-Out: Unsubscribe from non-essential marketing communications at any time using the unsubscribe link in our emails.

8. Cookies and Tracking Technologies

We use cookies and similar technologies to maintain your session, remember preferences, and analyze usage. You may configure your browser to refuse cookies, but some features of the Service may not function correctly without them. We do not currently respond to “Do Not Track” browser signals.

9. Third-Party Services and Links

The Service may integrate with or contain links to third-party services (payment processors, parts suppliers, etc.). This Privacy Policy does not apply to those third-party services. We encourage you to review their privacy policies before providing any information to them.

10. Children’s Privacy

The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice within the Service at least fourteen (14) days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the revised policy.

12. Governing Law

This Privacy Policy is governed by the laws of the Commonwealth of Puerto Rico.
